To support the Administration Team Leader in the efficient administration of government-funded learning programs, ensuring compliance and accuracy using internal and external systems. The role is critical to always maintaining operational effectiveness and upholding data integrity.
Key Responsibilities:
Verify and monitor start documentation using audit checklists.
Prepare New Learner/Employer Starter Packs across all contracts.
Maintain accurate, up-to-date records (both paper-based and digital).
Submit funding paperwork to Prime Contractor.
Track learners and outstanding compliance items.
Update MIS and E-portfolio systems as required.
Liaise with frontline teams regarding enrolment documentation.
Respond to and resolve Strode paperwork queries.
Monitor e-signature workflows and chase pending approvals.
Upload learner details to internal and third-party platforms (Equal, SharePoint, etc.).
Manage ERNs and PLRs and ensure they are correctly logged.
Provide support with awarding body administration.
Assist with preparation for audits and inspections.
Undertake regular data cleansing activities.
Perform exam invigilation when required.
Update weekly enrolment tracking sheets.
Additional Duties
Support procurement and distribution of office/IT equipment.
Manage stationery and utilities as needed.
Assist trainers with logistical support (printing, room bookings, etc.).
Minute-taking during internal meetings.
Use PICS and OneFile systems for verification or data entry.
Generate internal reports upon request.
Assist in managing the admin mailbox.
