Administration Executive - Arabic Speaker
The Administration Executive serves as the first point of contact within our healthcare facility, ensuring a welcoming and efficient experience for visitors, patients, clients, and staff. This role combines front desk duties with administrative support, call management, and daily operational organization, contributing to a positive environment and smooth workflow. The Receptionist & Administration Executive is crucial in delivering excellent customer service, supporting administrative tasks, and facilitating effective interactions among patients, staff, and external partners. Key Responsibilities
Front Desk Management & Visitor Assistance: Greet and welcome visitors, patients, and clients professionally and courteously, creating a positive first impression. Direct visitors to appropriate personnel or departments, providing clear guidance within the facility. Answer inquiries and provide accurate information about healthcare services, locations, and policies. Maintain a tidy and organized reception area, ensuring a professional environment. Call & Correspondence Handling: Manage incoming calls, screen, and redirect to relevant departments promptly. Handle messages and ensure timely follow-up and accurate communication. Manage all correspondence, including emails, letters, and packages, prioritizing tasks efficiently. Provide essential information about the healthcare facility to callers, such as services and operational hours. Administrative & Clerical Support: Maintain and coordinate the executiveaEUR(TM)s calendar, scheduling appointments and meetings. Handle sensitive information with discretion, ensuring confidentiality and compliance with privacy regulations. Organize and maintain electronic and paper records for easy retrieval. Coordinate mail and courier services, ensuring timely delivery. Assist with clerical tasks such as photocopying, faxing, filing, and data entry. Perform additional administrative duties as assigned, supporting various departments. Assist patients with queries related to appointments, billing, and services, in a compassionate manner. Help schedule, reschedule, and confirm patient appointments accurately. Ensure patient forms and documentation are completed correctly and securely. Operational Support: Coordinate with other departments to ensure smooth reception operations. Monitor and enforce safety and hygiene protocols in the reception area. Collaborate with medical staff and administrative teams to ensure effective communication and patient care coordination. Required Skills & Qualifications
High School diploma or equivalent; a degree in Administration, Healthcare, or related field is advantageous. 2-3 years of experience in a receptionist or administrative role, preferably in healthcare. Excellent customer service skills, with a professional and compassionate approach. Strong verbal and written communication skills. Organizational skills and ability to multitask in a fast-paced environment. Additional Details
