The role is based at our school in Fujairah and with immedite start. Job Purpose As an administrative assistant you are responsible for running and coordinating the day-to-day administrative duties within he school. This essential role provides support to the SLT team through answering incoming communications, distributing mail correspondence, general admin duties such as filing, printing, or photocopying, data entry and various ad hoc duties. Main Duties Attend all administration team meetings Typing and branding of official documents and letters to Secondary parents Liaise with teaching and non-teaching staff and respond to enquiries on matters within the postholder's responsibility Design new documents, where necessary, to improve Secondary Academy's effectiveness Attend any training deemed necessary in relation to the role of Admin Support Assist with the preparation of Secondary PTCs Mail merge letters to provide a more personalised service for parents and attached to DMS system Process any student leavers forms for whole school, update Engage and forward to Admission Responsible for arranging the cover of secondary teachers in times of absence Specific Duties Receiving, directing, and responding to emails of behalf of the School Leadership Team as appropriate Link to Aldar HQ for all Secondary related issues/tasks Support new staff - arrival, induction, accommodation, and any other requirements Maintaining up to date records Responsible for all communications to parents including Homework, Educational visits and invitations to events Ensure all fire registers are up to date and accurate for the Secondary School Perform all other duties as requested by direct and dotted line reporting managers/ supervisors in a timely manner Requirements Minimum Qualifications O" Levels/NVQ/High School Diploma or equivalent (certificate will need to be attested) Minimum Experience A minimum of 2 years of experience in a customer focused role in the region Experience in the education field is preferred Experience in using Microsoft Office Job Specific Knowledge & Skills Fluent English communication skills, written and oral in order to deliver clear, proactive and effective two-way communication. Arabic speaker is preferable Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment Ability to work flexibly as a member of a team Result driven. Ability to analyse information in a systematic manner to make informed decisions. Ability to create a culture of continuous learning and knowledge sharing Collaboration and teamwork Shows positivity when faced with change, embracing it fully Acts in a socially responsible manner Excellent office management skills Knowledge of child protection and safeguarding A clean enhanced Disclosure and Barring Services check or police check.
