Job Description

We are seeking a highly organized and proactive Administrative Assistant to join our team. As an Administrative Assistant in our financial company, you will play a critical role in ensuring the smooth and efficient operation of our office. Your responsibilities will include providing administrative support to our team, managing office tasks, and assisting with client communications. Responsibilities:
Perform general office duties, including answering phones, handling emails, and managing office correspondence.
Maintain and organize physical and electronic files and documents.
Assist with the preparation and distribution of financial reports, presentations, and documents.
Coordinate and schedule appointments, meetings, and conference calls.
Greet clients and visitors and provide a professional and welcoming environment.
Assist in preparing and processing financial forms and paperwork.
Assist with data entry, record-keeping, and updating client information in databases.
Handle office supply inventory and place orders as needed.
Assist with travel arrangements and expense reports for team members.
Collaborate with colleagues on special projects and tasks as required.
Maintain a high level of confidentiality and professionalism in handling sensitive financial information.

Qualifications:
High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
Proven experience as an Administrative Assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Attention to detail and the ability to handle multiple tasks simultaneously.
Ability to maintain confidentiality and handle sensitive information discreetly.
Knowledge of financial terminology and procedures is a bonus.
Professional appearance and demeanor.
Strong problem-solving skills and a proactive attitude.
Ability to work independently and as part of a team.
