Job Title: Administration Assistant Department: Admin Start Date: Immediate Reports to: Head of Marketing & Admissions Direct reports: Front Desk Assistant Job Scope: This role is a temporary position to support the front of house team, secondary team and admissions team in administrative duties. Main Duties and Responsibilities The following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of the post.
To deal with telephone enquiries in a prompt, friendly and efficient manner and taking clear and accurate telephone messages.
To register late arriving secondary students
To contribute to the overall ethos and aims of the School
To provide administration support for the Admissions team to include but not limited to:
Maintaining SISD student data information system
Maintaining paper student files for new applicants
Collect student and academic data from parents, teachers, and other sources (phone, email)
Supporting and collaborating with Admissions, Academic and Medical teams
Maintaining SISD student data information system on Open Apply and ISAMS
Scanning documents and saving to Open Apply, if required
Checking for completeness of all student records \xe2\x80\x93 applicants and enrolled students
Collecting student and academic data from parents, teachers and other sources (phone, email)
Maintaining student files online to ensure completeness and correctness of student data at all times
Management and updating of Emirates IDs for all students
Reminders and chasing parents of all missing documents
Preparing Offer letters to new students
Key Relationships Internal: SISD team, School Management, Teachers, Students External: Parents, Guests, Partners, Suppliers Position Requirements Education:
College or Degree educated
Administration and/or Customer Service background
Experience:
A minimum of 3 years\xe2\x80\x99 experience in the capacity of a Receptionist / Administrator in a multicultural environment or any other Customer Service function
Experience of working in a school, college, or university a plus
Competencies:
A second language desirable (French, German, and/or Arabic)
A positive, flexible, \xe2\x80\x98can do\xe2\x80\x99 work ethic.
Exceptional communication and organisational skills
Strong collaboration skills to foster partnerships with all staff
Calm and approachable manner
Empathetic to the needs of all staff
Excellent standards of personal presentation.

Knowledge of Child Protection/Safeguarding
