Administrative Duties:
Office Management:
Maintain office supplies and equipment.
Ensure the office runs smoothly (coordinating repairs, managing cleaners or office boys, etc.).
Maintain and organize files (physical and digital).
Staff Support:
Handle travel arrangements, meeting schedules, and event coordination.
Assist in HR-related tasks such as leave tracking or attendance management.
Maintain staff records.
Communication & Coordination:
Answer phone calls and emails.
Coordinate with vendors, clients, and service providers.
Draft letters, memos, and reports.
Accounts/Finance Duties:
Bookkeeping:
Record daily financial transactions.
Maintain cash books, petty cash, and ledgers.
Track and file invoices and receipts.
Billing & Payments:
Prepare and send invoices to clients.
Follow up on payments and handle collections.
Process bills and make vendor payments.
Payroll Assistance:
Assist in salary calculations.
Maintain employee attendance and leave records for payroll processing.
Bank and Financial Tasks:
Prepare bank deposits and handle banking transactions.
Reconcile bank statements with company records.
Reporting:
Generate financial summaries or basic reports for management.
Assist external accountants or auditors during audits.
