Job Summary:
We are seeking a proactive and organized
Admin + Receptionist
with real estate experience to join our team. The ideal candidate will be responsible for handling daily administrative tasks and providing exceptional front-desk service. They will support the real estate team by managing office operations, assisting with property documentation, and maintaining a professional environment for both clients and staff.
Key Responsibilities:
Reception Duties:
Greet clients and visitors in a friendly and professional manner.
Answer and direct incoming calls, emails, and inquiries related to real estate properties and services.
Manage meeting room schedules and client appointments.
Administrative Support:
Assist the real estate team with day-to-day administrative tasks such as preparing documents, filing, and data entry.
Process real estate contracts, forms, and agreements with accuracy.
Ensure that property listings and related paperwork are updated and organized.
Customer Service:
Provide general information about available properties and real estate services to potential clients.
Assist clients with queries and offer administrative support throughout the property transaction process.
Maintain positive relationships with clients and handle their requests promptly.
Office Management:
Manage office supplies and ensure that all office equipment is functioning properly.
Coordinate with maintenance and IT support when necessary.
Organize and maintain office files, ensuring they are accessible and up to date.
Coordination with Agents:
Assist real estate agents by coordinating property viewings, client meetings, and supporting with follow-ups.
Support agents with marketing activities like preparing brochures, posting on property portals, and managing online listings.
Data Management:
Maintain and update the company CRM with accurate client information and property details.
Assist in preparing reports and presentations for management and agents.
Requirements:
Experience:
Minimum 1-2 years of experience as an admin or receptionist, preferably in the real estate sector.
Skills:
Excellent communication and customer service skills.
Proficient in MS Office (Word, Excel, PowerPoint) and CRM systems.
Strong organizational skills with attention to detail.
Ability to multitask and prioritize tasks in a fast-paced environment.
Knowledge:
Understanding of real estate processes, documentation, and terminology.
Familiarity with property listing platforms and marketing support is a plus.
Language:
Fluent in English (Arabic or additional languages is a plus).
