The Role
We are looking for a super-organized and proactive
Admin & Project Coordinator
to be the right-hand person for our CEO.
You will be the main support for all office administration and will also help coordinate our many design and fit-out projects. You will make sure the office runs smoothly and that project deadlines are met.
Key Responsibilities
Admin Support:
Manage the CEO's calendar, schedule meetings, and handle important emails.
Act as the main point of contact for the CEO (answering calls, greeting clients).
Prepare letters, reports, quotations, presentations, and invoices.
Keep all company files perfectly organized (both digital and physical).
Manage office supplies and handle basic HR admin tasks.
Project Coordination:
Support the project team by tracking project timelines, deadlines, and deliverables.
Help prepare project documents (like LPOs, material submittals, and close-out files).
Talk with suppliers to get quotes and make sure materials are ordered and delivered on time.
Coordinate with our site teams and supervisors to get daily updates.
Help follow up with clients for information or approvals.
Qualifications & Skills
Experience:
2+ years of proven experience as an Admin, Project Coordinator, or Executive Assistant.
Organization:
You must be extremelyorganized. You love checklists, spreadsheets, and making sure nothing is missed.
Skills:
You are skilled with MS Office (Word, Excel, PowerPoint).
Language (Required):
You
must
have excellent professional skills in
both spoken and written English
.
Attitude:
You are a proactive problem-solver. You see a problem and find a solution. You work well under pressure and can handle many tasks at once.
Big Advantages (Preferred but Not Required)
You have worked in an interior design, fit-out, or construction company in Qatar before.
You can also
speak and write Arabic
. (This is a big plus).
