Job Description

Position Overview:



The Administrative Officer acts as a central support hub for all departments, ensuring seamless coordination of administrative tasks related to F&B operations. This role involves managing documentation, scheduling, and interdepartmental communication to support sales, marketing, finance, HR, and operational activities.

Key Responsibilities:



General Administration



Maintain accurate filing systems for contracts, invoices, HR records, and operational documents. Prepare and distribute reports, presentations, and correspondence. Manage office supplies and ensure timely procurement.

Sales & Marketing Coordination



Assist in preparing proposals, menus, and promotional materials for clients. Coordinate event bookings, reservations, and client requirements with the operations team. Support marketing campaigns by organizing photo shoots, social media content schedules, and promotional events.

Finance Support



Track invoices, purchase orders, and petty cash expenses. Liaise with finance for timely submission of operational and event-related financial documents.

HR Assistance



Maintain employee records and assist with onboarding documentation. Coordinate training schedules and internal communication for staff.

Operations Support



Prepare daily, weekly, and monthly operational reports. Coordinate with suppliers and vendors for deliveries and service requirements. Ensure smooth communication between kitchen, service teams, and management for events and daily operations.

Other Duties



Schedule meetings, prepare agendas, and take minutes. Handle confidential information with discretion. Provide administrative support for special projects and seasonal campaigns.

Qualifications & Skills:



Bachelor's degree in Business Administration or Hospitality Management (preferred). Minimum 2 years of experience in administration or F&B coordination. Strong organizational and multitasking skills. Excellent communication and interpersonal skills. Proficiency in MS Office Suite and familiarity with POS or ERP systems is a plus. Ability to work under pressure and meet deadlines.
