Job Summary
The Administrative Officer is responsible for handling day-to-day administrative and clerical tasks in a car care/workshop environment. This role supports smooth operations by coordinating customer records, service documentation, billing, inventory tracking, and communication between customers, technicians, and management.
Key Responsibilities
Greet customers and handle inquiries (in person, phone, or email)
Schedule service appointments and manage the workshop calendar
Prepare job cards, service invoices, quotations, and receipts
Maintain customer records, vehicle service history, and files
Coordinate with technicians regarding job status and completion times
Manage petty cash, payments, and basic accounting entries
Track spare parts, supplies, and inventory records
Handle purchase orders and vendor coordination when required
Ensure accurate data entry and document control
Support compliance with company policies and safety procedures
Requirements & Qualifications
High school diploma or equivalent (diploma/degree preferred)
Previous administrative experience (automotive or service industry preferred)
Basic knowledge of car care services is an advantage
Proficiency in MS Office (Word, Excel) or workshop management software
Good communication and customer service skills
Strong organizational and time-management abilities
Ability to multitask in a fast-paced environment
