Responsibilities



Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace. Handle all aspects of office management such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment. Organize and coordinate events, meetings, and conferences from planning stages through execution, ensuring all logistics are handled seamlessly. Manage correspondence via phone, email, and other communication channels with professionalism and excellent phone etiquette. Utilize QuickBooks for bookkeeping tasks such as invoicing, expense tracking, and financial record keeping to support accurate financial management. Assist with project coordination by tracking deadlines, preparing reports, proofreading documents, and ensuring timely completion of tasks. Perform transcription, proofreading, and data entry duties with precision to maintain high-quality records. Support executive team with personal assistant responsibilities including travel arrangements, personal scheduling, and confidential document handling. Maintain organized filing systems--both digital and physical--and ensure all records are up-to-date for easy retrieval. Use multi-line phone systems efficiently to handle incoming calls while providing excellent customer service to clients and visitors. Manage office technology tools such as Microsoft Office Suite (Word, Excel), Office 365 applications, Google Workspace tools (Docs, Sheets), DocuSign for electronic signatures, and other relevant software. Support clerical tasks such as proofreading documents, preparing presentations, transcribing notes from meetings, and assisting with special projects as needed.

Requirements



Proven experience in an executive administrative or office management role with strong organizational skills. Demonstrated proficiency in Microsoft Office Suite (Word, Excel), Google Workspace applications, QuickBooks for bookkeeping tasks, and familiarity with office equipment including multi-line phone systems. Excellent typing speed along with strong data entry skills to ensure accuracy in record keeping. Prior experience supporting executives or high-level professionals as a personal assistant or in an administrative capacity. Exceptional communication skills with professional phone etiquette and customer service orientation. Ability to manage multiple priorities efficiently while maintaining attention to detail; experience in project coordination is highly valued. Knowledge of clerical procedures such as filing systems, proofreading techniques, transcription services, and document management tools like DocuSign. Strong computer literacy across various platforms including Microsoft Outlook Calendar for scheduling purposes. Experience with event planning--both small meetings and large corporate events--is a plus. High level of discretion when handling confidential information; integrity is essential.
