Job Duties and Responsibilities:

  • Responsible for operational tasks like general office management including keeping a check on office supplies and purchasing when needed, ensuring the needed resources are in place and ensuring that repairs and maintenance are scheduled as needed.
  • Work with suppliers as and when needed including, DEWA, telecommunication, Fire & Safety, housekeeping partners etc.
  • Maintain and update employee files and databases both on digital and paper records.
  • Communicate with PRO for visa and residency related matters.
  • Plan business travel arrangements including visa application, hotel bookings, ticket issuance, preparing travel itinerary and other internal approvals and needed arrangements for the employees.
  • Request tax invoices for the bookings and share the same with finance for book-keeping.
  • Keep systematic track on available and already provided company assets to the employees.
  • Manage schedules of company executives, assist in planning appointments, board meetings, conferences etc.
  • Prepare minutes of the meetings and document the same as needed.
  • Draft, review and send communications on behalf of the company internally and externally as needed.
  • Assist in hiring needs from arranging interviews, completing onboarding documentations.
  • Submit expense reimbursement on behalf of the employees.
  • Maintains continuity among work teams by documenting and communicating.

Qualifications Required:

  • 3+ years of minimum experience in administration
  • Proficient with Google sheets, docs, slides etc.
  • Experience overseeing admin budgets and budgets.

Knowledge, Skills and Abilities:

  • Excellent organizational and prioritization skills with strong attention to detail.
  • Superb at juggling multiple tasks.
  • Excellent time management skills.
  • Proactive and positive attitude.
  • Young and vibrant personality who can accommodate a high task load work environment.
  • Exceptional writing, editing and proofreading skills with respect to business communications.
