Job Title: Admin Executive cum Project Coordinator

Job Summary:
We are seeking a highly organized and detail-oriented Admin Executive cum Project Coordinator to provide comprehensive administrative support and coordinate key projects within our group of companies. The ideal candidate will be the backbone of our office operations, ensuring efficiency and smooth workflow while simultaneously managing project timelines, resources, and communications. This role requires a proactive individual with excellent multitasking abilities.
Key Responsibilities:

  • Administrative Management:
  • Manage day-to-day office operations, including correspondence, filing, and record-keeping.
  • Coordinate meetings, prepare agendas, and take accurate minutes.
  • Handle travel arrangements, visa processing, and accommodation bookings for staff.
  • Maintain office supplies and equipment inventory.
  • Serve as a point of contact for internal and external stakeholders.
  • Project Coordination:
  • Assist in the planning, initiation, and execution of various company projects.
  • Track project timelines, milestones, and deliverables using appropriate tools.
  • Coordinate with different departments to ensure project alignment and resource availability.
  • Prepare and present regular project status reports to management.
  • Facilitate communication between project teams and stakeholders.
  • Operations Support:
  • Support HR with onboarding new employees and maintaining personnel records.
  • Assist in the development and implementation of operational policies and procedures.
  • Help organize company events, trainings, and team-building activities.
Requirements:
  • Minimum of 4 years of experience in a similar administrative and project coordination role within the UAE.
  • Prior experience in a group of companies is highly preferred.
  • Exceptional proficiency in MS Office (Word, Excel, PowerPoint, Outlook) with strong skills in creating professional presentations.
  • High attention to detail and a commitment to accuracy.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Must be currently residing in the UAE and available to join at short notice.
