Job Description

1. Having Experience in Construction related field is a plus. 2. Keeping documents for Clients/Consultants/Contractors and sub-contractors in an organized manner. 3. Filtering the call and taking details/concerns before transferring to the respective staff or to the Managing Director. 4. Preparing offer letters, contracts, memorandum of understanding, fee proposals, quotations, etc. 5. Drafting Emails, Business Letters, Internal Memos, and other correspondence to facilitate communication and enhance business processes. 6. Providing Administrative support for the managers. 7. Maintaining general office files, including job files, vendor files, and other files related to the company\xe2\x80\x99s operations. 8. Handling all Utility bills and Keeping records of payments. 9. Assisting the staff for preparation of matrices such as work program, material specification matrix, letters, fee proposal, reports and presentations that need to be encoded. 10. Handling Office Stationery issuing and procuring as per the requirement. 11. Responsible for planning, preparing and organizing training programs of the company if required. 12. Sourcing, Recruitment, Selection, Onboarding & Off boarding. 13. Develop and monitor overall HR strategies, systems, tactics, and procedures across the organization. 14. Ensure that all employment records related to hiring, transferring, promoting, and terminating are processed, maintained, and updated. 15. Assist in developing, implementing, updating HR policies and procedures throughout the organization. 16. Manage and coordinate HR Best practice processes to ensure the accurate processing of all HR data. 17. End-to-end Visa processing \xe2\x80\x93 New visa, Renewals & Cancellations. 18. Renewals \xe2\x80\x93 Trade License, Tenancy Contract, AMC, etc. 19. Renewal of medical insurance, professional indemnity. 20. Handling petty cash and other accounting services including VAT calculation and filing in Federal Tax Authority. Job Requirements: 1. Must have a bachelor\xe2\x80\x99s degree (prefer Business Administration/Management background). 2. Must have 2 to 3 years of UAE experience in Admin/Document Controller. 3. Should have experience in ERP software. 4. Should have excellent communication skills in English. Arabic is an advantage. 5. Skill in examining and evaluating business processes and operating procedures and managing procedure/process change. 6. Strong critical thinking skills; ability to synthesize and interpret complex issues and to create integrated solutions and recommendations. 7. Ability to effectively use computer software including Microsoft Outlook, Word, Excel and HR software. 8. Excellent organizational and time-management skills with an ability to prioritize important projects. 9. Should be able to do administrative support by preparing reports, writing emails, memos, letters, correspondence, and maintaining filing. 10. Good working knowledge of UAE labor laws.
