The receptionist serves as the interface between a company and its customers, as well as, the management and employees. She does this with a high level of professionalism and courtesy that leaves a good impression and builds upon a solid reputation. She also provides a general administrative support such as scheduling meetings, handling transcriptions, printing, photocopying, and assisting the HR Team.
Responsibilities:
Greets visitors
Handles queries and complaints via phone, email, and general correspondence
Transfers calls when necessary
Takes messages and ensures they are passed to the appropriate staff promptly
Manages meeting rooms availability
Receives and distributes mail or package to the appropriate staff accordingly
Handles typing, printing, and photocopying of necessary documents
Records and maintains office expenses
Assists the HR team with recruitment, onboarding, termination processes, etc.
Maintains safety and hygiene standards of the reception area
Skills
Excellent in oral and written English
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Able to handle office equipment such as telephone system, printer, computer, etc.
Has good telephone communication etiquette
Able to manage multiple priorities simultaneously
Focused and has presence of mind
Organized and resourceful
Active listener
Fast and eager to learn
Qualifications
Bachelor's degree in communications or any related field
Prior experience with Microsoft Office
