Admin Assistant - 3500 AED
Location: Dubai & Sharjah
Salary: 3500 AED
Job Summary:
We are seeking a reliable and proactive Admin Assistant to perform a variety of administrative and clerical tasks. This role is the backbone of our office operations, providing support to our managers and employees, coordinating daily administrative activities, and ensuring the office runs smoothly and efficiently.
Key Responsibilities:

  • Front Office & Communication:
  • Act as the first point of contact for visitors, directing them appropriately.
  • Answer, screen, and forward incoming phone calls.
  • Manage and distribute incoming and outgoing correspondence (e.g., emails, letters, packages).
  • Administrative Support:
  • Schedule meetings, appointments, and manage conference room bookings.
  • Prepare and edit documents, including correspondence, reports, memos, and presentations.
  • Maintain a clean, organized, and welcoming office environment.
  • Record Keeping & Data Management:
  • Create and maintain filing systems, both electronic and physical.
  • Update and maintain databases, employee records, and contact lists.
  • Assist in the preparation of regularly scheduled reports.
  • Office Management:
  • Monitor and manage office supplies inventory; place orders when necessary.
  • Coordinate with vendors and service providers (e.g., cleaning, maintenance).
  • Assist in making travel arrangements and booking accommodations for staff.
  • General Support:
  • Provide general support to all departments as needed.
  • Assist in organizing company events or meetings.
Qualifications & Skills:
  • Education: High school diploma is required; a certificate in Administration or a related field is a plus.
  • Experience: 1-2 years of experience in an administrative or office support role.
  • Technical Skills:
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Experience with office equipment (e.g., printers, scanners, fax machines).
  • Personal Attributes:
  • Excellent organizational and multitasking abilities.
  • Strong verbal and written communication skills in English (knowledge of Arabic is an advantage but not mandatory).
  • Professional and pleasant demeanor.
  • Proactive problem-solver with a "can-do" attitude.
  • Ability to work effectively both independently and as part of a team.
