Job Summary: Looking for an Admin Assistant in Dubai, United Arab Emirates (UAE)

Job Key Details:
  • Conduct various administrative tasks to ensure smooth office operations including managing calendars, scheduling appointments as well as coordinating meetings
  • Serve as the primary point of contact for internal and external stakeholders, addressing inquiries and redirecting them to the appropriate channels as necessary
  • Prepare and edit correspondence, memos, reports as well as presentations, ensuring accuracy and adherence to company guidelines
  • Maintain and organize physical as well as electronic files, documents and records, ensuring confidentiality and easy retrieval
  • Prepare financial documents, such as expense reports, invoices as well as purchase orders and facilitate their timely processing
  • Support HR-related tasks such as assisting with recruitment processes, onboarding new employees as well as maintaining employee records
  • Monitor and order office supplies, ensuring availability and cost-effectiveness while adhering to budgetary constraints
  • Coordinate travel arrangements, including booking flights accommodations as well as transportation, while considering cost-effectiveness and travel policies
  • Perform general clerical duties such as photocopying, scanning, mailing as well as filing as needed
Job Qualifications and Experience
  • The applicant must have a Degree in any relevant course with at least 2 years of experience working as an administrative assistant
  • Proficiency in using office productivity software including the Microsoft Office Suite
  • Strong organizational and time management skills
  • Exceptional attention to detail and accuracy in all tasks
  • Ability to handle confidential information with integrity and discretion
  • Must have a proactive mindset with the ability to anticipate needs and take initiative
  • Strong problem-solving and decision-making skills
  • Excellent communication skills including professional phone etiquettes
  • Knowledge of basic HR practices and familiarity with recruitment processes is an added advantage
