Job Description

1) Primary Duties & Responsibilities Admin/Office Management

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf
  • Maintaining comprehensive and accurate records
  • Answering phone calls and directing them to respective team members
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Create and update databases and records for financial information, personnel and other data
  • Acting as the point of contact among executives, employees, clients and other external partner
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedure
  • Act as an office manager by keeping up with office supply inventory, IT support and others
  • Monitor utility bills, contract renewals, lease and others.
  • Maintain office order.
  • Coordinate with sister companies' heads and managers
. * Liaise with Operations and Commercial Manager in terms of shipment monitoring, paperwork and payments
  • Organise meetings with Managing Director and other heads of the company. Executive Assistant to Managing Director:
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Managing the executive's calendar, including making appointments and prioritizing the most sensitive matters * Managing executive' calendars and set up meetings * Manage and track Managing Director's utility bills
  • Monitor Property expenses, maintenance and attend to tenant's concern if asked. * Prepare and update Statement of Account of property * Maintain records/document files of the Managing Director
  • Assist the Managing Director in personal matters when necessary. Ad for new Admin/EA position at SCGT Accounts Assistance:
  • Performing minor accounting duties, assisting the Auditor and Finance Team on monthly payments, statements and other account related work.
  • Prepare payment Vouchers (monthly payments) and coordinate with Finance team for the processing of Payment
  • Ensure all Office expenses and utility bills are paid and submit supporting documents to the Finance team 2) Secondary (additional) Duties & Responsibilities Business Support Assistance: a) Oil & Gas Sector:
  • Identify oil & gas services business opportunities, coordinate and develop business networking, and propose investment opportunities that could create value for the company.
  • Carrying out market studies on oil & gas services business opportunities information with assigned consultants.
  • Coordinating, developing and proposing oil & gas services investment opportunities.
  • Suggesting external means and methods, including the proposal to seek the assistance of those with research expertise.
  • Supervising the processes of organizing agreements and contracts for new partnerships. b) Sourcing:
  • Assisting Tenders team in connecting with different vendors/suppliers.
  • Improving the company's sourcing activities by identifying the company's supplying partnerships and outsourcing. * Generating and implementing efficient sourcing and profitable deals.
  • Analysing and calculating costs of procurement and suggesting methods to decrease expenditure.
  • Optimize sourcing procedures to attain maximum efficiency
Job Type: Full-time Salary: From AED5,000.00 per month Ability to commute/relocate:
  • Dubai: Reliably commute or planning to relocate before starting work (Required)
  • Executive Assistant: 2 years (Preferred)
