We are seeking a detail-oriented and highly organized Administrative Assistant with prior experience in handling petty cash, administrative tasks, document management, Google Drive, Microsoft Suite (particularly Excel), and a background in finance. The ideal candidate will be responsible for efficiently managing various administrative duties, supporting financial operations, and maintaining accurate records.
Responsible for Payroll Management, Training & Development, Performance Appraisals, General Office Administration etc.
Establish and maintain a filing system Place an order for office supplies, Make travel arrangements. Prepare expense reports and reconcile them
Ensure visitor\'s needs are met. in response to inquiries and questions, provide information.
Served as point of contact for the new employees and ensuring completion of joining formalities & initial briefing of new joiners; handling documentation & providing induction kits to new joiners.
Ensured proper handholding and timely/continues training of the team. Encourage acquiring and sharing of knowledge by team member and proactively participate in knowledge sharing for the development of career progression of team.
Take dictation Prepares presentations based on research, produce reports
Manage multiple projects at the same time Invoice preparation and monitoring.
Performing administrative and clerical tasks, such as preparing invoices, sending bill reminders, filing paperwork, document control and contacting clients to discuss their accounts.
Responsible for maintenance of files, audit of personal files, working out compensation for new entrants, confirmations and final settlements in consultation with corporate HR-Head.
Organize and schedule appointments and meetings. Produce and distribute correspondence memos, letters, faxes and forms.
Planned & executed of employee connect initiatives to target employee motivation and participation.
Facilitated exit interview of leaving employee & providing feedback to management for necessary action
Maintain accurate records of petty cash transactions and disbursements.
Reconcile petty cash on a regular basis and ensure adherence to company policies and procedures.
Prepare reports on petty cash expenditures and provide insights for budget planning.
Assist in day-to-day administrative tasks, including scheduling appointments, managing calendars, and coordinating meetings.
Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
Organize and maintain physical and digital documents, ensuring proper filing and documentation.
Manage and organize important documents, contracts, and reports in both physical and digital formats.
Ensure the accuracy and confidentiality of sensitive information, and implement appropriate security measures for document storage.
Proficiently utilize Google Drive to manage and organize documents, spreadsheets, and presentations.
Collaborate with team members to share and edit files on Google Drive, ensuring seamless communication and efficient workflow.
Utilize advanced features of Microsoft Excel to create and maintain financial spreadsheets, reports, and data analysis.
Develop and maintain financial models, charts, and graphs to support decision-making processes.
Assist the finance team in basic financial tasks, such as data entry, invoice processing, and expense tracking.
Support the preparation of financial reports and statements, ensuring accuracy and compliance with accounting standards.
Qualifications:
Proven experience as an Administrative Assistant or in a similar role with expertise in accounts and document handling.
Proficiency in using Google Drive and the Microsoft Office suite, particularly Excel.
Ability to multitask and prioritize tasks effectively.
Knowledge of basic finance principles and practices.
Ability to maintain confidentiality and handle sensitive information with integrity.
Preferably Bachelor\'s degree in Accounting, Finance, Business Administration, or related field.
Strong organizational and multitasking skills with attention to detail.
Excellent communication and interpersonal abilities.
Ability to work independently and collaboratively in a fast-paced environment.
