Job Description

The Wellbeing and Activities Coordinator manages the planning, development, implementation and delivery of activities and events in order to assist the school’s academic team in implementing the school’s curriculum and nurturing the school’s ethos in line with the mission and vision of the school. He/she also acts as a liaison among all stakeholders in all matters that deal with wellbeing, healthy relationships, positivity, productivity, sustainability, enjoyment, and sense of belongingness. His/her job is to create a unified and shared understanding of various wellbeing factors by leading, engaging, and empowering students, teachers, parents, and other stakeholders to partake in the school wide initiatives, campaigns, and events that promote wellbeing and positive environment.

The Activities Coordinator is responsible for making all necessary arrangements to ensure the smooth and effective planning, running, and managing of the school’s extra-curricular activities (ECA) program. This includes collaboratively developing the activities calendar, ensuring that the ECA program is adequately staffed and resourced, managing the ‘signing up’ process of students and monitoring to ensure quality and safety of students and staff during the activity. Included in the responsibilities is fostering a strong sense of community and belongingness and promoting the school’s core values.
Activities and Events Strategy
1. Contribute to the development of activities that enrich the academic curriculum and provides students with additional opportunities for fun, learning and development, in line with the approved school curriculum and KHDA calendar.
2. Organize activities for the main national and international dates (UAE National Day, Sports Day, and World Heart Day, etc.)
3. Organize activities proposed by the Head of Section and approved by the Principal.
4. Assist student club leaders to plan and organize events, activities, and programs.
5. Ensure appropriate risk assessment is conducted prior to implementing any activity.
Policies, Procedures and Budgeting
1. Develop the activities processes, procedures, standards and templates in order to ensure consistency in the delivery of communication messages and activities in line with the school’s vision
2. Act as focal point of contact for all activities relations in order to establish and lead working relationships with all key institutions, HoS, General Services (Transport, Art Department, etc.)
3. Monitor the budget performance and the financial performance of activity section to identify areas of shortfall and propose corrective action to ensure actual expenditure is controlled within the agreed budget
4. Advise students on matters related to school procedures, rules, and regulations during an activity
Activities Identification
1. Identify and organized activities in relation to the school’s curriculum
2. Identify potential local and international activities and exhibitions and organize participations in these activities in order to generate exposure and awareness of the school
3. Identify activities and conferences that nurture students and teachers knowledge
Coordination
1. Establish and maintain the school’s activity calendar
2. Assist the Head of Sections in building strong relationships in order to source and implement innovative ideas to be applied in relation to the curriculum
3. Determining the resourcing requirements for the ECA program in advance of any deadlines
4. Ensure the on-going administrative effectiveness of each activity
5. Maintain professional and friendly communications within all the Sections encouraging and ensuring teamwork, and aligning work processes in order to achieve high performance standards, meet established budgets and objectives, and ensure the proper engagement in a motivated work environment
6. Respond promptly to routine questions and requests on issues related to the activity calendar
Students and staff wellbeing
1. Plans and implements strategies and activities that promote positive emotional experiences for students and staff, and support their social, emotional, intellectual learning and mental health.
2. Implements positive behavior strategies, as appropriate, to individual/ groups of students.
3. Instills positivity, fun, warm, and friendly learning and working environment using a variety of strategies and approaches.
4. Acts as a role model by setting challenging and demanding expectations and promoting self-esteem, independence, and personal responsibility.
5. Serves as a consultant for different departments in designing school programs that build camaraderie, teamwork, open-communication, motivation, encouragement, collaboration, sense of belongingness, trust, and morale.
6. Handle, follow up, and monitor the implementation of health and safety procedures related to Covid 19 cases and conduct all necessary trainings for students and staff.

  • Knowledge of records management procedures and of assigned program activities guidelines and processes

  • Ability to effectively present information and respond to questions from school administrators, staff, students and community

  • Ability to communicate efficiently and effectively both verbally and in writing in English and Arabic

  • Ability to prepare reports, evaluations, correspondence forms etc.
