Responsible for providing comprehensive administrative and secretarial support to the Director and Staff.
MAJOR JOB ACTIVITIES: � Acts as the administrative point of contact between the executives and internal/external clients to ensure efficient execution of the mission requirements. � Provide administrative support to the Director and staff, requiring considerable judgment and discretion to include handling of information of a highly important and confidential nature while exhibiting behavior consistent with company code of conduct. � Act as the administrative point of contact between the executives and internal/external clients to ensure efficient execution of the mission requirements. � Possess the very highest level of organizational efficiency � Proactively manage the Directors schedule, with scheduling meeting and/or appointments using Outlook. � Possess excellent oral and written communication skills sufficient to clearly convey messages to co-workers, customers, and all levels of management. � Must possess professional interpersonal skills, work well with others and must be able to work in a high-stress, fast paced environment and demonstrate the flexibility required to handle a very dynamic work environment with changing priorities. � Must exhibit strong time management and organizational skills. � Assemble and analyze information, prepare reports, and agendas. Maintain files, keep records, compile reports and process documents in a timely manner. � Draft/produce grammatically correct, accurate and complete final correspondence to include letters, memoranda�s etc. � Develop and edit PowerPoint Charts, Graphs, and similar presentation materials. � Screen and direct incoming calls, set up conference calls, handle walk-in request, organize and maintain electronic files. � Possess the ability to multi-task while maintaining attention to detail, work independently, and make decisions based on face-to-face, phone and/or email communication with all levels of personnel. � Proactively offer suggestions for improvement and demonstrate initiative. Assist the team with VBSS initiatives. � Track progress and validates on time completion of mission requirements when assigned. � Assist section leadership with the writing, editing, formatting of all Department Quality Management System. � Coordinate and track completion of all mandatory training, performance appraisals etc. as assigned by COS HQ � Track all visas, base access badges, driver�s licenses expiration dates, vacations, vehicle placards, tdy assignments. � Schedule travel arrangements for the leadership as needed. � Provide timely, accurate, and relevant information to the leadership and the customer as required. � Troubleshoot problem areas as required and coordinate problem resolution or recommends solutions to management. � Monitor office supplies and process supply orders and services. � Shall work special projects as assigned. Perform other duties as assigned.
MATERIAL & EQUIPMENT DIRECTLY USED: Personal Protective Equipment, office automation equipment to include desktop computer, printers, digital fax machine, shredder, plotter. Computer skills include a working knowledge of Microsoft Word, Excel, and Outlook.
WORKING ENVIRONMENT: Work is generally conducted in an office environment; however, duties may involve the conduct of work in the out-of-doors area with a potential exposure to extreme climatic conditions. PHYSICAL ACTIVITIES:
Work may require lifting up to 50 lbs, stooping, climbing, prolonged standing, and prolonged sitting.
Must comply with OSHA, EPA, Fire Regulations and published company work rules.

Education/Certifications: One year related experience may be substituted for one year of education, if degree is required.
At a minimum must possess an Associate Degree or Business School Certification in Business Administration or Management.
In lieu of a degree, must possess a High School Diploma with a minimum of 5 years� experience in a professional office environment.
Green Belt certification preferred but not required.
Required: Minimum 5 years in a professional office environment.
Excellent written and oral communication skills mandatory, as well as the ability to actively participate in the decision making process. Candidate must possess strong customer service and analytical skills and have the ability to work effectively in a team environment as well as work independently with minimal supervision.
Skills: Computer skills include a working knowledge of Microsoft Word, Excel, and Outlook and Visio.
